MEDICAL INSURANCE

Dr. Heffernan does not participate with any insurance plans and cannot bill them directly.  Charges are due the day of service regardless of your insurance status. 

If you have medical insurance, it is your responsibility to file all claims for reimbursement for an out-of-network service with your insurance company. Call your insurance company to determine your benefits and to obtain a pre-authorization. Ask your insurance company if a "Treatment Plan" needs to be submitted in order for you to be reimbursed. With your permission, Dr. Heffernan will complete and submit Treatment Plans to your insurer. There is no charge for this.

Dr. Heffernan will be happy to assist you by supplying you with an invoice at the time of each service. This invoice will contain the pertinent information required by your insurance carrier (diagnosis code, treatment code, date of service, etc.).

Dr. Heffernan has opted-out of Medicare; therefore, those individuals with Medicare who wish to see him must sign an agreement that states that they will not submit claims to Medicare. 

 

APPOINTMENTS

All services are provided by appointment only. 

The initial appointment, a 90-minute session, is scheduled following a brief conversation by phone.  Follow-up appointments are either 50-minute sessions or 25-minute sessions. 25-minute appointments are reserved for medication management. Brief phone calls are an ordinary part of treatment and are not subject to additional fees. However, Dr. Heffernan does not practice telepsychiatry and will not schedule phone appointments. At a minimum, on-going patients are to be seen every three months.

Single consultations for a second opinion are 120 minutes long and require all prior records to be obtained by the patient and provided to Dr. Heffernan at least two business days prior to the consultation.  The consultation includes review of patient records, a comprehensive evaluation, and a typed report to the referring physician with recommendations. An optimal evaluation includes the input of a trusted informant, such as a parent, spouse, sibling, adult child, or friend; the presence of one such informant is encouraged.

If you are late for an appointment, you will be seen for the remainder of your scheduled time and charged for the full session as scheduled.  If you are unable to keep an appointment, please give 48 hours advance notice. Appointments cancelled with less than 48 hours notice and appointments missed without notice will be billed at the regular rate for the time that was reserved for you.  You may cancel your appointment by calling 443-818-7900.  If you are uncertain of your appointment time, or anticipate that you may have a problem keeping your appointment, please do not hesitate to call or email.  The exception to this cancellation policy is a regional weather emergency, declared by Anne Arundel County or the State of Maryland.

 

CONFIDENTIALITY

All spoken and written information related to your care is held in strictest confidence. Dr. Heffernan will not provide information to a third party without your written consent, except when required by law. These legal exceptions include risk for harm to yourself or others, child abuse, or court-ordered subpoenas.  

Should you wish for me to release information to a third party, please sign the "Authorization to Receive or Disclose Private Health Information (PHI)” form, which is available for download on the Resources page of this site.

Your private health information will only be stored or transmitted via applications that comply with HIPAA regulations. Dr. Heffernan uses Google Apps for Business with HIPAA/BAA waiver for email, calendar, contacts, and document storage. Electronic facsimile service is via Scrypt/sFax has also been certified as HIPAA compliant. Dr. Heffernan's office phone is an encrypted mobile device. Maintaining your privacy and confidentiality is a top priority.

 

Fees

Fees are consistent with other psychiatrists practicing in the area. Please contact the clinic to discuss the fee schedule.

All charges are due the day of service and payable by cash, check, or credit/debit. Visa, MasterCard, Discover, and American Express are accepted.  Checks should be made payable to “Sean P. Heffernan, M.D., LLC.”  There will be a processing charge for returned checks.

Fees are scheduled to change every two years. You will be given at least 30 days notice before the rates change.
